Website enquiries
If you use the quote form we store your name, email address, telephone number if you provide one, your message, the service you select, and the path of the page that sent the form. That record is saved in WordPress as an enquiry. We then send a notification email to our configured enquiry address using the website’s mail function.
Mail for napwood.co.uk is received through Google’s mail servers (the domain’s MX records point to Google). We have not separately verified which outbound relay the web server uses when it sends the notification. Staff may also read and retain enquiry emails in Google-hosted mailboxes. We have not identified a separate CRM product connected to the website code. We do not claim that no other manual copies exist outside WordPress.
We use enquiry information to reply to you and, if you become a customer, to manage the work. The lawful bases we rely on for this are taking steps at your request before a contract, and our legitimate interest in keeping a record of the conversation so we can reply and deal with later questions or disputes.
Spam protection on the form
The quote form uses local checks on our server (a honeypot field, a short rate limit, and a submission token). Akismet is installed on the website but does not process these quote submissions.
Analytics and cookies
We use Google Analytics 4 (measurement ID G-C9LS2QFG0M, Google tag GT-KVHJLCSQ previously deployed via Site Kit). Non-essential analytics cookies and analytics scripts are not loaded until you accept statistics cookies through our cookie banner. If you reject statistics, or have not chosen yet, the public website does not load Google Analytics. After a successful enquiry save, and only when you have accepted statistics, the site may record an enquiry_submitted event with the service name and page path only — not your name, email, telephone number or message.
Google may process analytics information outside the United Kingdom. Site Kit by Google remains connected for administration and reporting and does not place the public Analytics snippet while the banner controls loading.

Fonts
The public pages may request fonts from Google Fonts. That request can send connection data such as an IP address to Google. It is not an analytics cookie. We are reviewing local hosting of these fonts as a separate task.
Hosting
The public website is hosted with IONOS (served from the production address used by napwood.co.uk). Uploaded media files are stored on that website. The precise WordPress database host and the IONOS backup arrangement have not been verified for this notice and are treated as open questions.
How long we keep information
- Spam and rejected submissions: 30 days.
- Genuine enquiries that do not become work: 12 months after the last meaningful contact.
- Quotations that are not accepted: 24 months after the last contact.
- Active projects: for the life of the project.
- Completed project records: ordinarily at least six years where justified, longer where contractual or legal exposure requires it.
- Accounting and tax records: the applicable statutory periods, commonly six years.
- Complaints and disputes: until resolved, then an appropriate further period reflecting potential claims.
- Website backups: follow the hosting provider’s cycle once that cycle is confirmed. The current IONOS backup arrangement is not yet verified.
These periods are a working policy. They are not automatic deletion jobs. Records are not deleted solely because this notice is published.
Your rights
Under UK GDPR you may ask for a copy of your information, a correction, deletion, restriction, or to object. You can complain to the Information Commissioner’s Office at https://ico.org.uk. Contact us at info@napwood.co.uk.
